Valuations and variations: the evidence to send for a review

For a valuation or variation review, the first question is what decision you need to make. A quantity difference, a submitted claim and an agreed value are not the same thing.

Start with the contract and change record

Send the relevant contract information, original scope and pricing documents, instructions or change records, and the current submission. Where there are several revisions, identify which one you want assessed and keep earlier versions available.

Connect the quantity to its source

Drawings, take-offs, marked-up measurements, site records and photographs can support different parts of the review. A photograph may show work on site without proving its quantity, rate or payment basis. Keep those tests separate.

Make the pricing basis visible

Provide applicable contract rates or the relevant labour, plant, material and subcontract evidence. Identify exclusions and any amounts already included elsewhere so that the same scope is not counted twice. An unsupported amount stays unresolved; it is not automatically accepted or reduced to zero.

Keep the assessed position beside the request

A useful review shows the submitted position, the independently assessed position and what still needs evidence or agreement. The output supports the commercial discussion; it does not turn a disputed item into an agreed payment or replace the contract's approval process.
